Room Rental Guidelines/Conditions

 
Conditions of Room Rental 
Nambour Community Centre Inc aims to provide a pleasant and informal environment for your workshop, meeting, event or activity. The Community Centre provides modern facilities for the communities needs at a reasonable cost. 
  • Minimum  booking is 1 hour.
  • Should you cancel a booking it is your responsibility to contact the centre and all your participants.
  • A cancellation fee of 50% will be charged if the centre is not notified within 48 hrs.
  • Tentative bookings will only be held for two weeks. It is then the responsibility of the tenant
     to either confirm or cancel. Tentative bookings will be forfeited if the centre is not informed.     If tentative bookings need to be held longer, a 50% non-refundable deposit will be collected.
  • It is the Tenants responsibility to ensure that they have appropriate insurance cover for the activities they are conducting at the centre. If you do not have insurance, then the tenant will need to accept and sign our disclaimer.

Guidelines for Room Rentals 
 
PARKING:-   Limited parking is available in the car park at the side of the building near public walkway.       -   Please do not park in the staff carpark. You are welcome to drop off and pick up in this area    but no long term parking is available.-   Please refrain from parking on the yellow lines on Shearer Street as this will incur a traffic    penalty. 

FIRST AID:-   First aid kits are available in the main kitchen in the cupboard above the oven, in the    children's room and in the staff kitchen (admin office). All accidents/incidents must be    recorded on the appropriate form available from reception. 

TENANT'S RESPONSIBILITIES- Stack all chairs and tables after use (chairs stacked no higher than 8). Chairs are available in the large cupboards in the meeting rooms or in the open area.- Clean the floor if food or drink has been consumed during your use of the facilities. Cleaning equipment is stored in the broom cupboard located in the kitchen.- Report all damages of centre property to reception (a fee may apply for repair or replacement).- The Centre is to be vacated at 10pm due to noise restrictions.- Drinking alcohol or using illegal substances is prohibited in the centre and its surrounding area.- Facilitators are responsible for providing tea, coffee, refreshments and all workshop needs. The Centre does offer a room set-up and catering service. Please enquire at reception if you require this service.- The designated smoking area is under the large tree at the front of the building.- Animals are prohibited on the premises.- Candles are not to be used in any of the meeting rooms as they are a fire hazard.- Due to WH&S and insurance requirements, permission must be gained through reception for the use of electrical appliances and equipment.    

BEFORE YOU LEAVE:- Ensure you leave the area as you found it. All cleaning equipment is availablein the broom closet located in the kitchen and under the kitchen sink.- Please lock all windows and doors and turn off the lights, fans and air conditioners. If you are the last group for the day please shut the exterior wooden gates.- All rubbish is to be placed int he bins outside the kitchen. PLEASE NOTE:A CLEANING FEE WILL APPLY IF ROOMS ARE NOT LEFT IN A SATISFACTORY CONDITION 
KEYSKeys for after hours bookings need to be collected during office opening times (9am-3pm Monday to Friday). Keys are then returned in the brass slot located next to the front door after you have locked up and are leaving the premises.  

Fire Safety 
The Queensland Fire Service has instructed Nambour Community Centre that for it to comply with Fire Safety regulations, each group using the Centre needs to be responsible for ensuring the safety of its own members in the event of a fire.  Therefore, the designated “leader” of each group will be known as the designated “Fire Safety Officer” for that particular time period and group.  Each group leader needs to know how many members they have in attendance at each group meeting (a roll book could be kept for larger numbers). Instructions for “Fire Safety Officer” in the event of a fire / fire drill: 1.  Blow the whistle in three long blows to give an immediate warning of fire. A whistle is located in the kitchen next to the fire extinguishers and in the first aid kit in the children's room.2.  Contain the fire, if safe to do so, by using suitable extinguishers / fire blankets (found in kitchen behind door).3.   Call 000 (please inform reception staff to call if you are unable to do so).4.   Commence evacuation - an evacuation route plan is provided in every room:- Check the toilets and smoking areas for persons who are not in the meeting room at the time of emergency,- Ensure disabled people are evacuated safely,- If time permits, close all windows, shut down gas lines (near staff car park) and turn off air conditioning before evacuation.5.   Once at the assembly point, ascertain that all persons within your group are accounted for. Those who are missing should have their names and last known location given to an officer in charge. Do not leave the assembly area until you are given permission to do so. 
DO NOT:- Take refuge in toilets, store rooms or other such places,- Block roadways or access to the premises,- Re-enter the building. 

Each group leader should be instructed on how to operate a fire extinguisher and use a fire blanket.  Please contact Nambour Community Centre for an appointment time for this demonstration.  For groups who change their leadership on a regular basis, please ensure that the new group leader is also given these instructions. 
DISCLAIMER:The Nambour Community Centre accepts no responsibility for any property or valuables brought to the Centre by the hirer, customers, clients or invitees.  And further, the Community Centre accepts no responsibility for any injuries which may be suffered by any such persons, and the hirer must ensure that they hold adequate insurance to cover any such persons attending the Centre, pursuant to this Hiring Agreement.
